Administrative Assistant/Program Coordinator


 

Job Summary

The Institute for Professional Advancement, Inc. (IPA), a nonprofit organization that certifies and delivers programs to sales professionals in the independent manufacturer rep channel, is looking for an individual that likes to work behind the scenes and occasionally in-person. IPA is the delivering organization of programs and research developed/sourced by the Manufacturers’ Representative Educational Research Foundation (MRERF).

Under the supervision of the Executive Director, this individual will be responsible for general office management (remotely), and providing administrative, computer, and logistical support for programs.

Responsibilities and Duties

  • Assists callers, receiving and forwarding messages in a timely manner as applicable.
  • Prepares periodic reports as required/requested.
  • Manage the time and records of contractors.
  • Keep the databases current and related registrations and certification renewals.
  • Assist with the the newsletter, using the newsletter software program.
  • Manage the web site to keep it up-to-date and a resource for information regarding programs, conferences, trainings, and events as needed.
  • Handle the paperwork associated with enrollment of participants in each of the sponsored events.
  • Assist the Executive Director to assure timely enrollment of participants.
  • Provide on-site support at meeting sites as needed.
  • Serves as a resource for program alumni and potential members further building rapport.
  • Assist the Executive Director to prepare for Board Meetings.
  • Performs other duties as requested.
  • Organizing logistical details of some events – before, during, and after.
  • Prepare program/event materials ensuring arrival and availability for use.
  • Excellent customer service skills
  • Ability to travel periodically to our events with one being critical early in the year for a week. Does require travel on Sundays.

Qualifications and Skills

QUALIFICATIONS

Associate degree or other post-secondary education in business, office administration, accounting, or a related field. Must be able to work within a team and individually under general supervision. General office or business administration experience as well as experience working in a non-profit, membership-based organization are desirable.

A combination of education, training and experience may be substituted when competency in the role is demonstrated. Successful performance on pre-employment tests may be required.

SPECIALIZED SKILLS AND KNOWLEDGE:

This position requires computer knowledge and skill. Must be able to use business software packages, CRM software programs used for managing program registration and renewals and web sites, and applications within Microsoft Office. Must have attention to detail. Strong interpersonal skills are essential. Must be able to gain the trust of the members and maintain confidential information.

Job Type: Part-time

Pay: $20.00 - $24.00 per hour
