SUMMARY
The Food & Beverage Administrative Assistant ("Asistente de Administración de Alimentos y Bebidas") keeps records, minutes, and assumes a variety of administrative duties as assigned by the F&B Director. Provides all aspects of administrative support for and manages projects and other tasks assigned by the F&B Director.

ESSENTIAL DUTIES

  • Manages supervisor's calendar and independently schedules appointments.
  • Screens incoming calls and correspondence and responds independently when possible.
  • Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Directs preparation of records such as agenda, notices, minutes, and memorandums from the F&B Director's Office for distribution to the hotel's managers.
  • Acts as custodian of hotel's documents and records.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
  • Creates and maintains database and spreadsheet files.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
  • Provide assistance with California Dreaming/Sunset Luau Events, etc.
  • Responsible for all weekly Delphi reports as requested by manager or Director as well as monthly sales reports.
  • Daily maintenance of actual sales report. Pace Booking Reports monthly. There will be extra reports requested on an individual basis.


QUALIFICATIONS

  • High school diploma or GED.
  • At least 1-2 years of relevant experience and/or training.
  • A combination of experience, education, and/or training may be substituted for either requirement.
  • Previous similar positions in top-quality hotel or experience working as an executive assistant supporting senior-level executives is required is preferred.
  • Thorough knowledge of Microsoft Office suite, including Outlook, Word, PowerPoint, and Excel.
  • Understands that the position demands the highest level of integrity and confidentiality. Maintains confidentiality in legal, personnel, and other executive matters.
  • Excellent attention to detail and organizational skills
  • Strong communication skills, spoken and written. Ability to interact effectively and professionally with board members, and other internal/external contacts.
  • Familiarity with basic legal terminology preferred.
  • Ability to maintain a friendly, team-oriented, positive attitude and a professional appearance at all times.
  • Ability to be poised under pressure with continued smiles, and maintain a highly diplomatic attitude with challenging guests and under stressful circumstances.
  • The following position will be filled in accordance with the process set forth in California Labor Code Section 2810.8 and San Diego Municipal Code 311.0101 et. seq.
